Privacy Policy

This Privacy Policy explains how Adeative Media ("we", "us", "the Company") collects, uses, and protects personal information in connection with SmartBot (also referred to as WhatsBot), our WhatsApp-based AI assistant service that answers customer messages on behalf of the businesses that use our service ("Clients"). Adeative Media develops and operates SmartBot and is the data controller for the information described below.
1. Who we are
Adeative Media is the company that develops and operates the SmartBot / WhatsBot service. Any reference to "the app" or "the service" in this policy means software operated by Adeative Media. Contact: privacy@adeative.media.
2. Information we process
When a person messages a business that uses our service on WhatsApp, we process:
- The content of WhatsApp messages exchanged in that conversation.
- The sender's WhatsApp phone number and display name.
- Information the person voluntarily provides (e.g. name, service of interest, appointment preferences).
- Business configuration our Clients provide (business description, services, prices, hours).
We access WhatsApp messaging data through the WhatsApp Business Platform provided by Meta. We do not collect data from a person's device beyond the messages they send to the business.
3. How we use the information
- To operate the AI assistant that replies to customer messages on behalf of the Client business.
- To capture leads and notify the Client's business owner.
- To keep conversation history so the assistant can respond in context.
- To improve response accuracy for that specific Client (e.g. saving answers the owner provides).
4. Service providers (sub-processors)
- Hetzner Online GmbH (Germany) — cloud server hosting and database storage.
- OpenRouter, Inc. (United States) — AI language-model processing of message text to generate replies.
- Meta Platforms, Inc. — the WhatsApp Business Platform used to send and receive messages.
These providers process data only as needed to provide their service to us.
5. Data retention
We retain conversation and lead data for as long as the Client uses our service, and delete it upon a Client's or an individual's verified request.
6. Your rights
You may request access to, correction of, or deletion of your personal information by emailing privacy@adeative.media. If you contacted a business through our service and want your data removed, contact us and we will process the request.
7. Data security
Data is stored on secured servers and transmitted over encrypted connections. Access is limited to what is required to operate the service.
8. Changes
We may update this policy. The effective date above indicates the latest version.
